# Team Management

Invite team members, assign roles, and organize work across workspaces. Built for AV firms with multiple programmers, project managers, and ops leads collaborating on the same set of agents.

AVCodex supports multi-user organizations so your AV ops team, programmers, and account managers can build, manage, and deploy agents together. This guide covers inviting members, roles, and workspaces.

## [Organization Structure# ](#organization-structure)

Every AVCodex account belongs to an **organization**. An organization contains:

-   **Members**: people who can access the organization.
-   **Workspaces**: logical groupings of agents (like folders).
-   **Agents**: the AI agents your team builds.

Members are invited at the organization level and then assigned to one or more workspaces with specific roles.

There are four roles, each with different permissions:

Role

What They Can Do

**Owner**

Full control. Manage billing, invite or remove members, delete the org. Cannot be removed by others.

**Admin**

Invite members, manage workspaces, configure agents. Cannot manage billing or delete the org.

**Editor**

Build and configure agents within assigned workspaces. Cannot invite members or manage org settings.

**Viewer**

Read-only access to agents and chat history. Cannot modify anything.

> **Note:** Only Owners can invite Admins. Admins can invite Editors and Viewers. This prevents privilege escalation.

## [Inviting Team Members# ](#inviting-team-members)

**1\. Open Settings**

Click **Settings** in the left sidebar, then **Team**.

**2\. Click Invite Member**

Enter the person's email and pick their organization role (Admin, Editor, or Viewer).

**3\. Assign Workspaces**

Optionally assign the new member to one or more workspaces with a workspace-level role. Skip this and they will join the organization but see no workspaces until assigned.

**4\. Send the Invite**

The invitee gets an email with a link to accept. Invites expire after 7 days. If they do not have an AVCodex account yet, they create one during acceptance.

You can invite members directly from a workspace's member list. Workspace-level invites automatically assign the "Member" org role and add the person to that specific workspace. Useful when you bring in a contractor for a single project ("ACME 40-room refresh") and you want them in one workspace, not the whole org.

Open **Settings -> Team** to see every organization member. The page shows:

-   Name and email.
-   Role (with icon: crown for Owner, shield for Admin).
-   Last login time.
-   A count of total members and owners.

Use the search bar to filter by name or email. Click the column headers to sort by name or role.

### [Changing Roles# ](#changing-roles)

Owners can change any member's role. Admins can change roles for Editors and Viewers. To change a role:

1.  Find the member in the team list.
2.  Click the role dropdown next to their name.
3.  Pick the new role.

> **Warning:** Changing an organization role does not automatically change workspace-level roles. Workspace roles are managed separately inside each workspace.

### [Deactivating Members# ](#deactivating-members)

Rather than deleting members outright, deactivate them. Deactivated members cannot log in, but their activity history is preserved. To deactivate:

1.  Open **Settings -> Team**.
2.  Find the member.
3.  Click the deactivate option.

If the deactivated member was the sole Owner of a workspace, another member is automatically promoted to Owner so the workspace is not orphaned.

## [Workspaces# ](#workspaces)

Workspaces let you organize agents into logical groups. Common patterns for AV firms:

1.  Click the workspace switcher in the left sidebar.
2.  Click **New Workspace**.
3.  Enter a name and optional description.

### [Workspace Members# ](#workspace-members)

Each workspace has its own member list with workspace-specific roles:

Workspace Role

Permissions

**OWNER**

Full control over the workspace and its agents.

**EDITOR**

Create, edit, and publish agents.

**VIEWER**

Read-only access to agents and chat history.

To manage workspace members:

1.  Open the workspace.
2.  Go to **Settings -> Workspace Members**.
3.  Add or remove members, or change their workspace role.

### [Workspace Spending Limits# ](#workspace-spending-limits)

Owners can set a monthly spending cap on a workspace to control LLM costs:

1.  Open workspace settings.
2.  Set the **Spending Limit** in dollars.
3.  When the limit is hit, agents in that workspace stop responding until the next billing period.

You can also set per-member spending limits inside a workspace. Useful when you give a junior programmer access to an experimentation workspace and want a hard ceiling on their usage.

For advanced scenarios, workspace Owners can apply per-member permission overrides. Fine-grained controls beyond what the role provides.

> **Tip:** Use overrides for things like giving a Viewer the ability to export chat data for a quarterly review, or preventing a specific Editor from publishing agents to production until a sign-off process completes.

> **Note:** On Free and Builder plans, your organization has a single workspace with one member (you). Upgrade to Studio Pro or above to invite team members.

### [Invite Not Received# ](#invite-not-received)

1.  Check spam or junk.
2.  Verify the email is correct.
3.  Resend from **Settings -> Team**.
4.  Invites expire after 7 days. Send a new one if expired.

### [Member Cannot See Agents# ](#member-cannot-see-agents)

Members only see agents in workspaces they have been assigned to. Confirm they are in the right workspace.

### [Cannot Change a Member's Role# ](#cannot-change-a-member-s-role)

Only Owners can change roles to Admin. Admins can only change roles for Editors and Viewers. You cannot change the role of someone with a higher role than your own.
